The Challenge: The DPA's Nightmare of Disconnected Data

  3. The Change (Document Management): The DPA initiated a "Management of Change" workflow. He checked out SMS0-PROC-NAV-04 from the Document Management module. The system automatically stamped it as "Under Revision." He revised the procedure for clarity.
  4. The Approval & Distribution: The revised procedure was digitally routed for approval. Once approved, version 3.0 was automatically published to the entire fleet, and the old version 2.0 was automatically archived. The revision history clearly stated: "Updated as per Finding F-DS-2025-012."
